Benefits Assistant/Customer Service Representative – Oakville, Ontario

Reporting to the Benefits Manager, the Benefits Assistant/Customer Service Representative is responsible for supporting the Benefits Administration department in the processing of claims and in the administration of our niche products. The position also provides backup support to other administrative and customer support roles in the company as required.

Administrative responsibilities:

  • Process and coordinate incoming correspondence

  • Liaise with Benefits Administrators and provide administrative support ensure claims are processed in accordance with company standards

  • Input claims data

  • Process paid claim template documents

  • Prepare correspondence for the payment of claims and process mailings

  • Provide back up telephone support and assist customers with claim inquiries, as required

  • Receive, process and prepare reports on claimant/customer surveys

  • Correspond with outside sources when required

  • Provide administrative support to Sales Team, as required

  • Fax, mail and courier receipt and distribution

  • Preparation of outgoing couriers

Customer Service Responsibilities

  • Maintain detailed knowledge of new and existing products by liaising with colleagues and insurance company clients

  • Develop and maintain good working relationships with insurance companies and clients

  • Ensure compliance with regulations and procedures as laid down by required by governing provincial insurance bodies

  • Maintain proper procedures to ensure minimum exposure to errors and liabilities

  • Deliver exceptional customer service by responding swiftly to inquiries and concerns from clients, Dealers and Sales Team

  • Process Dealer set up and cancellations

  • Provide daily support to Dealers as required for niche products

  • Support the vehicle inspection process

  • Handle all incoming calls, customer queries, and Dealer queries

Requirements:

  • One year of administrative experience in a customer service environment

  • Proficiency with Google, Microsoft Office, Access and Internet

  • Motivation, a strong work ethic and cultural fit are valued more than previous experience.

  • Excellent customer service skills and telephone etiquette

  • Ability to work as part of a team is critical.  Must have strong interpersonal and relationship building skills.

  • Detail-oriented, flexible and reliable

  • Ability to exercise good judgment, recognize scope of authority and protect confidential information

  • Exceptional verbal and written communication skills in English

  • Ability to speak and write in French would be an asset
